Privacy Notice

1. Who we are

Dog Events operates the website at dog-events.uk, a platform for organising and entering dog shows and competitions in the UK.

We are the "data controller" for the personal data described in this notice, which means we decide how and why it is used. You can reach us at [email protected] for anything in this notice, including a request to exercise your rights.

Event organisers who use the platform decide for themselves how they use the entry information they receive, so for that information they are a separate data controller alongside us. Section 5 explains this.

2. What we collect

• Your account - name, email address, password (stored hashed, never in readable form), and optionally your postal address and Kennel Club membership number.
• Your dogs - name, kennel name, breed, sex, date of birth, Kennel Club registration number and any photo you upload.
• Handlers - where you name someone else as a handler for your dog, their name and email address. See section 6.
• Entries and results - the classes you enter, running orders, scores, placings and awards.
• Payments - the amount, date and status of entry payments. Card details are handled entirely by Stripe and never reach our servers.
• Uploads - music files and any other files you add to an entry.
• Support messages - anything you send us through the support system or by email.
• Usage - when you sign in and out, the pages you visit while signed in, and your IP address at sign-in. Signed-out visitors are not tracked.

3. Why we use it, and our lawful basis

We do not send marketing emails, and we do not sell or rent your data to anyone.

4. Who we share it with

• Event organisers - when you enter an event, the organiser receives your name, contact details, your dog's details and your entry.
• Other competitors and the public - running orders, catalogues and results name you and your dog.
• Governing bodies - where a show is licensed by the Kennel Club or another governing body, the organiser may need to submit results to them.
• Stripe - to take payment.
• Mailgun - to send email (EU region).
• DigitalOcean and Microsoft Azure - hosting and file storage. Both are in the UK.
• Google reCAPTCHA - to tell real sign-ups from automated ones.
• Anyone we are legally required to disclose to, and professional advisers where needed to establish or defend a legal claim.

Our servers and file storage are in the UK. Google reCAPTCHA, and the font and script libraries the site loads, involve your IP address reaching providers based in the United States. Those transfers rely on the UK's adequacy decision for the EU-US Data Privacy Framework, or on standard contractual clauses where it does not apply.

5. Event organisers are separate controllers

Once an organiser receives your entry, they decide how they use it - to run the show, produce the catalogue, contact you about the day and keep their own records. For that, they are a data controller in their own right and we are not responsible for what they do with it.

Organisers can email people involved in their own event through the platform. Our terms only allow that for messages about the event itself - schedules, changes, results, requests for helpers - and not for advertising or promotion. If you receive promotional email through the platform, please tell us.

6. Information about other people

You can name another person as the handler for your dog, and record their name and email address. If you do, you must have their agreement, and you should show them this notice. Where the handler is under 18, it is for their parent or guardian to agree on their behalf.

We use handler details only to run entries and results for the dog they are handling. If you are a handler and want to know what we hold about you, contact us at [email protected].

7. Cookies

The site uses a small number of cookies, all of them necessary:

• Sign-in cookies - keep you signed in and protect forms against cross-site request forgery. Without these you could not use an account.
• Google reCAPTCHA - set by Google when you register, to distinguish real people from bots. This protects the service against automated abuse.

We do not use advertising, analytics or tracking cookies, and we do not build profiles of you. You can block or delete cookies in your browser, but the sign-in cookies are required for the site to work.

8. How long we keep it

• Your account - for as long as it is open.
• Entries, results and placings - indefinitely. A competition record is a shared one: other competitors' placings depend on yours, and a result that could quietly disappear years later would not be a result. These stay named.
• Payment and financial records - six years from the end of the financial year they fall in, as tax law requires, then deleted.
• Sign-in and page-view logs - 90 days, then deleted automatically.
• Support messages - up to two years after the issue is closed.

9. If you close your account

You can close your account at any time from your account settings. When you do, we delete your sign-in details, contact details, postal address and payment settings.

We keep your name against entries and results for shows you have already competed in, and your dogs stay named in those results. We are allowed to do this because the right to erasure does not apply where we need information to meet a legal obligation or to establish or defend legal claims, and because we have a legitimate interest in competition records being permanent. Your dogs are retired from the active lists at the same time, so they stop appearing in anything current.

If you think your circumstances outweigh that, you have the right to object - see section 10. Tell us why and we will genuinely weigh it rather than refuse by default.

10. Your rights

You have the right to:

• ask for a copy of the personal data we hold about you
• have inaccurate data corrected
• ask us to delete data, subject to section 9
• ask us to restrict how we use it while a dispute is resolved
• object to processing we carry out on the basis of legitimate interests
• receive data you gave us in a portable format

Email [email protected] and we will respond within one month. There is no charge.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or by calling 0303 123 1113. We would rather you came to us first so we can put it right.

11. Changes to this notice

If we make a change that affects how we use your data, we will update this page and ask you to review it the next time you sign in. The date at the top always shows the current version.
